
Booking Terms & Conditions
Please read the following information to ensure that you fully understand all booking terms and conditions, how payments are made, our cancellation policy and our Trip Joining waiver.
1. How to Book
a) Fill out the reservation forms, online booking forms or in-person arrangements, which will be sent to Safari Njema Adventures (“Safari Njema Adventures” or the “Company”) together with a deposit of 50% of the itinerary cost. On receipt of your paid reservation form, and you have received your confirmation invoice, your reservation is confirmed and accepted by us.
b) Final payment is due to Safari Njema Adventures not later than 1 week prior to departure, unless otherwise agreed upon with the management team.
On receipt of your deposit payment, we will send safari information, clothing lists, etc. Please ensure that you receive the information before you leave on safari.
2. Cancellation
Cancellations are only effective on receipt of written notification.
The scale of charges, expressed as a percentage of the tour prices, is as follows:

If you choose to cancel up to 7 days after booking – Full Refund

If you choose to cancel after 7 days from date of booking – Deposit forfeited

If you choose to cancel and it has been paid in full – 50% refund
-
Transferring to a later date – No fee
Should you fail to join a safari or join it after departure or leave it prior to its completion, no safari fare refund can be made.
3. If You Change Your Booking
After your booking has been confirmed, should you wish to make any changes to your itinerary or wish an earlier departure date, we will make every effort to accommodate your requests based on availability. However, there may be extra costs involved to accommodate your request, if the request involves upgrades or extended trip dates.
If you are simply choosing to transfer your trip dates to a later date, within the timeframe outlined above, there will be no additional fees. If you cancel or postpone your trip less than 2 weeks within your departure date, fees and cancellation costs may be incurred.
Changes to Your Booking (Group Tours)
In the event you book a joining group tour and the minimum number of required participants is not met for any reason, we reserve the right to shift your safari start date to a suitable date in the following 1–4 days. If you are unable to begin your tour on the shifted date, you will receive a full refund.
4. Insurance
It is a condition of booking, that the sole responsibility lies with the guest to ensure that they carry the correct comprehensive travel and medical insurance to cover themselves, as well as any dependants/traveling companions for the duration of their trip to Africa. This insurance should include cover in respect of, but not limited to, the following eventualities: cancellation or curtailment of the safari, emergency evacuation expenses, medical expenses, repatriation expenses, damage/theft/loss of personal baggage, money and goods.
Safari Njema Adventures, including their representatives, employees and agents, will take no responsibility for any costs or losses incurred or suffered by the guest with regards to the above-mentioned eventualities. Guests will be charged directly by the relevant service providers for any emergency services they may require.
Guests not wishing to purchase comprehensive travel and medical insurance will be asked to sign a liability release form.
5. Methods of Payment
We accept MasterCard, Visa, Wire transfers, and Bank Transfers.
6. Baggage
For safety and because space is restricted, baggage is restricted to a maximum of 15 kg per person in a soft bag. This includes camera equipment and carry-on baggage.
7. Wild Animals
Please be aware that these safaris may take you into close contact with wild animals. Attacks by wild animals are rare, but no safari into the African wilderness can guarantee that this will not occur. Neither Safari Njema Adventures, nor their employees, can be held responsible for any injury or incident on the safari. Please note that most safari camps in Africa are not fenced.
8. Passport & Visas
The onus is upon the guest to ensure that passports and visas are valid for the countries visited. Safari Njema Adventures and their staff cannot be held liable for any visas not held by the guests, nor the cost of visas.
9. Health
Tropical Disease precautions should be commenced prior to departure. Please consult a medical travel doctor for specific advice. If you are a contagious-disease carrier, you must let us know when booking your safari.
Safari Njema Adventures, nor any employees or third parties, are liable for any illnesses or medical issues endured during your trip.
10. Responsibility
Neither Safari Njema Adventures nor any person or agent acting for, through or on behalf of the Company shall be liable for any loss or damage whatsoever arising from any cause whatsoever and shall particularly not be responsible for loss or damage arising from delays, sickness, theft, injury or death.
The Company shall have the right at any time at its discretion to cancel any safari or the remainder thereof or make any alteration in route, accommodation, price or other details and, in the event of any safari being rendered impossible, illegal or inadvisable by weather, strike, war, government interference or any other cause whatsoever, the extra expenses incurred as a result thereof shall be the responsibility of the passenger.
The Company may cancel or terminate the guest’s booking if the guest engages in illegal or incompatible behaviour and the guest shall not be entitled to any refund.
The person making any booking warrants that he or she has authority to enter into a contract on behalf of all persons included in the booking.
10A. FORCE MAJEURE
Force Majeure refers to any circumstances beyond the reasonable control of the Company, including but not limited to:

civil unrest, riots, protests or political instability
-
pandemics, epidemics or public health emergencies
-
government travel bans or restrictions
-
natural disasters (floods, storms, earthquakes, bushfires)
-
acts of war or terrorism
-
extreme weather conditions
-
airline disruptions, airport closures or strikes
-
any event making the safari unsafe, impossible, or commercially impracticable
In the event of a Force Majeure situation:
-
No refunds will be issued, as these circumstances fall outside the Company's control.

A full credit will be issued, equal to the amount paid, allowing guests to rebook their safari at a later date.

Credits are valid for 24 months unless otherwise stated.

Rebooked dates are subject to availability and future pricing.

Guests are strongly advised to obtain travel insurance that covers Force Majeure events.
11. Changes to Schedules
Although every effort is made to adhere to schedules, the Company reserves the right to change routes and camps as dictated by conditions such as seasonal rainfall, game migrations, operational issues, or airline complications.
12. Refunds
Whilst the Company uses its best endeavours to ensure that all anticipated accommodation is available as planned, there shall be no claim for a refund if accommodation or excursions are unavailable and a reasonable alternative is not found. If the guest is unable to use any service provided in the itinerary, then there are no refunds due.
13. Flights
In the case that the Company books scheduled airline flights, note that a service fee will apply. We cannot be held responsible for schedule changes, flight delays or cancellations that affect your travel arrangements.
14. Airline Clause
The airlines concerned are not to be held liable for any act, omission or event during the time passengers are not on board their aircraft. Passengers’ tickets constitute the sole contract between the airline and the purchaser/passenger.
16. Delays
We cannot be held liable for any delays or additional costs incurred as a result of airlines not running to schedule.
17. In the Event the Scheduled Driver is Unavailable
If one of our guides is unable to take a safari due to illness, etc., we reserve the right to substitute with another guide. If there is an unexpected emergency during your safari, the Company may substitute another driver.
19. Governing Laws
This agreement is made subject to and shall be governed by the laws of the country in which the safari takes place. The Company only makes your travel arrangements and acts merely as an agent for the operating companies.
20. Consent
Payment of the deposit or any partial payment for a reservation constitutes consent by all guests covered by that payment to all provisions of the conditions and general information contained in this document.
The terms cannot be changed or amended except in writing signed by an authorised director of the Company.
22. Age Limits in Camps and Lodges
We have no upper age limits in our camps but respectfully request that only physically active people join these safaris. Camps vary with respect to minimum age requirements. We will advise which operators allow younger children. Cross-country and walking safaris have a lower age limit of 12 and an upper limit of 65–75 depending on the difficulty level.
